Description

The Office Administrator in our Denver office will support operations in our Denver & Houston offices. Reporting to the Denver Operations Manager, the successful candidate will be accountable for supporting and assisting the operations team with various administrative and accounting duties to ensure exceptional service is provided to our external and internal clients in Denver and Houston.

Accountabilities

Coordinating and delivery of Central Services for Denver & Houston office

Finance Tasks

Coordinate collection and forwarding to corporate of vendor invoices (payables)
Complete project invoicing process in conjunction with Project Managers
Review employee expense claims & forward to corporate for payment processing
Complete Tool Crib equipment utilization tracking for project costing
Track and log Magna vehicle mileage and project costing

HSE Tasks

Ensure office evacuation plan posted and fire extinguishers are in place
Coordinate evacuation drills and periodic safety audits
Review personnel training requirements and schedule as required

HR Tasks

Independently perform some aspects of new employee on-boarding and orientations
Assist with HR employee initiatives that require local co-ordination
Assist with planning of employee events such as the Year End Party

IT Tasks

Basic troubleshooting and support
Local Interface for remote advanced troubleshooting and support

Office Infrastructure Tasks

Correspond directly with landlord on any minor issues (ex. snow removal)
Oversee janitorial and coffee contract execution
Ensure security system functional and utilized
Maintain and review space plans showing allocations by department and individual employee

Supply Chain Tasks

Buyer for miscellaneous and overhead items
Relay incoming contracts and amendments to Edmonton office
Liaise with Project Managers, as required, regarding supply chain issues

Providing administrative support to the Engineering and Technical Field Services teams:

Assist with editing of quotes, reports and correspondence for engineering and technical teams
Accurately and efficiently enter data into Magna internal programs (Deltek, Ortec)
Assist in maintaining the technical library, keeping all printed data organized
Daily scan and e-file of project documents and reports as directed
Assist in managing vehicle allocation for external projects
Coordinate vehicle rentals when required
Execute project related logistics under the direction of managers

Managing the reception desk and common areas:

Professionally manage the reception desk and waiting area
Greet all visitors in a pleasant and courteous manner
Handle all in-coming calls and direct accordingly
Process all incoming and outgoing mail and local courier
Maintain conference rooms and common areas
Maintain kitchen and office supplies
